LAW OFFICE ASSISTANT

General Description:

Provide legal secretarial support to the hearing unit attorneys; operate PC with Windows, Microsoft Word, and Excel; prepare and type correspondence and legal documents; transcribe and redact; manage case files, deadlines, calendars, and reports; contact witnesses and others; schedule depositions; arrange for hearings; act independently to identify and alert attorneys to potential issues; understand and apply legal and office policies, including Bluebook writing style; and maintain hearing unit files.

Description of Duties:

The Law Office Assistant:  schedules depositions, witness interviews, and attendance of witnesses at hearings; prepares legal documents, i.e., briefs, memoranda, and motions, in proper form; independently drafts and prepares routine legal documents, exhibits, and discovery materials; prepares responses to discovery requests; prepares records on appeal, trial notebooks, and exhibits; organizes and maintains litigation files; prepares witness subpoenas; prepares and maintains hearing calendars and reports; files and obtains court and public hearing documents; does copying and filing; answers telephones and performs receptionist duties; acts as liaison between attorneys and witnesses and others; and performs other duties as assigned.

Desired Qualifications:

Two years of legal secretarial experience of which one year was full proficiency level experience performing a variety of legal secretarial assignments of average difficulty requiring the use of computer data and/or word processing equipment to prepare correspondence, reports, or documents. Minimum typing speed of 50 words per minute desired.

Knowledge, Skills and Abilities:

Knowledge of office practices and procedures; familiarity with civil and administrative procedures necessary to prepare legal documents such as motions, petitions, briefs, pleadings, contracts, and affidavits; operation of a personal computer and word processor; skill in organizing and maintaining legal file systems; ability to handle public contacts and function with a high degree of independence.

Special Note:
“High School Equivalent” includes a G.E.D., or completion of any basic education course of 480 class hours (16 weeks at 30 hours per week), or six months of work experience performing duties related to the job class, or twelve months of work experience involving some routine tasks related to the job in question or highest grade of school completed plus amount of work experience which totals 12 years.

Most positions require incumbents to be able to obtain a Notary Public Bond and to be able to pass a criminal background check to meet security requirements for using criminal record networks such as APSIN and NCIC/NLETS. If this requirement is present, it will be stated in the vacancy announcement.

Some positions are required to work regular overtime on weekends and/or holidays to provide support to the assigned duty attorney. If this requirement is present, it will be stated in the vacancy announcement and in the Position Description.


Minimum Qualifications:

High school diploma or the equivalent;
AND
Six months of experience performing work that required keyboarding skills, proficiency in the use of office information technology, and oral and written communication skills.
